1. Who we are
Omnia Holistic Centre is operated by Niarisma Limited, a company registered in England and Wales.
Omnia Holistic Centre provides rooms and associated premises and facilities for use by independent practitioners.
For the purposes of UK data protection law, Niarisma Limited is the data controller for the personal information described in this Privacy Policy.

In this Privacy Policy, references to "Omnia", "we", "us" or "our" mean Niarisma Limited trading as Omnia Holistic Centre.
2. Our relationship with independent practitioners
Independent practitioners rent or use rooms at Omnia to operate their own independent practices. This may include therapists, counsellors, coaches and other independent practitioners.
These practitioners are not employees of Omnia and operate independently.
Omnia does not provide the therapeutic, healthcare or other professional services offered by practitioners using the premises. Omnia does not arrange appointments between practitioners and their clients, collect payments from practitioners' clients, or participate in the professional relationship between practitioners and their clients.
Practitioners are responsible for the personal information they collect and process in connection with their own clients and practices.
If you are a client of an independent practitioner using premises at Omnia and have a question about how that practitioner handles your personal information, you should contact the practitioner directly.
3. Personal information we collect
The personal information we collect depends on your relationship with Omnia.
Independent practitioners and prospective practitioners
When you enquire about renting or using a room at Omnia, or subsequently enter into a room rental arrangement with us, we may collect:
· your name;
· email address;
· telephone number;
· business or practice name;
· type of practice;
· professional qualifications;
· professional registration details;
· professional insurance details and certificates;
· identification documents;
· website details;
· information contained in your room rental agreement;
· room usage and booking information; and
· correspondence relating to your relationship with Omnia.
We do not normally require practitioners to provide information about their own clients.
Website enquiries
If you contact Omnia through our website contact form, we may collect:
· your name;
· email address;
· telephone number; and
· the information you choose to include in your message.
Please do not provide confidential medical, health or treatment information through the Omnia website contact form.
4. How we use personal information
We may use personal information to:
· respond to enquiries about rooms and premises;
· assess enquiries from prospective independent practitioners;
· enter into and administer room rental arrangements;
· manage practitioners' access to and use of rooms;
· communicate with practitioners about their room arrangements;
· maintain appropriate records relating to professional registration and insurance;
· issue and maintain invoices and financial records;
· receive and reconcile room rental payments;
· comply with our legal, tax, accounting and regulatory obligations;
· protect our premises and business interests;
· establish, exercise or defend legal claims; and
· send marketing communications where we have an appropriate lawful basis to do so.
5. Our lawful bases for processing
Under UK data protection law, we must have a lawful basis for processing personal information.
Depending on the circumstances, we rely on:
Contract – where processing is necessary to take steps at your request before entering into a room rental arrangement or to perform our agreement with you.
Legal obligation – where we need to process or retain information to comply with legal, accounting, tax or regulatory requirements.
Legitimate interests – where processing is reasonably necessary for the operation and administration of our room rental business, provided that those interests are not overridden by your rights and interests.
Consent – where consent is the appropriate lawful basis, including certain marketing communications and non-essential website technologies where consent is required.
The ICO recommends that privacy notices identify both the purpose for processing information and the applicable lawful basis.
6. Marketing communications
Omnia may send email newsletters or other relevant information to independent practitioners and prospective practitioners where permitted by law.
Where consent is required, we will obtain it before sending marketing communications.
You can ask us to stop sending marketing emails at any time by using any unsubscribe option provided in the communication or by contacting:

We do not sell personal information to third parties for marketing purposes.
7. Room booking system
Omnia uses Therapeuta, operated by Health Networks Ltd, to assist with the administration of room use by independent practitioners.
In connection with Omnia's use of this system, practitioner names and email addresses may be processed through Therapeuta.
Practitioners should not use Omnia's room booking arrangements to enter confidential information about their own clients unless specifically required and appropriately authorised.
8. Email and communications
Omnia uses Google services for business email and related communications.
We may also communicate directly with practitioners using WhatsApp where appropriate.
WhatsApp is used for communications relating to practitioners and their use of Omnia's premises. It is not used by Omnia to manage practitioners' client appointments or therapeutic relationships.
9. Accountants and other service providers
Access to personal information within Omnia is limited to those who reasonably require it.
Personal information may be disclosed to our accountant where necessary for accounting, tax and financial administration.
We may also use service providers that process information on our behalf, including our website hosting provider, email provider and room booking software provider.
We may disclose information where required by law, a regulator, court or other competent authority.
We do not sell personal information.
10. Website and Squarespace
Our website is hosted by Squarespace.
Squarespace may process technical information about visitors in order to provide, secure and operate the website.
Squarespace may also collect information used to provide website analytics, including information about a visitor's browser, network and device, IP address, pages visited and interactions with the website. Squarespace confirms that its websites use visitor information and cookies for website functionality and analytics.

11. Google Maps
Our website includes an embedded Google Map to help visitors locate the premises.
When the map is loaded, information about your device or use of the website may be transmitted to Google. Google's own privacy terms apply to information processed by Google.
Squarespace specifically notes that embedded third-party content such as Google Maps may result in visitor information being shared with the third-party provider.
12. How long we keep personal information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting and regulatory requirements.
As a general guide:
· unsuccessful or general practitioner enquiries – up to 12 months;
· ordinary website enquiries – generally up to 12 months where retention is necessary;
· room rental agreements and associated contractual records – generally up to 6 years after the relationship ends where required for legal or business purposes;
· accounting, invoice and relevant financial records – generally 6 years from the end of the relevant company financial year, or longer where required by law;
· identification, professional-registration and insurance documentation – normally for the duration of the practitioner's relationship with Omnia and up to 12 months afterwards, unless longer retention is reasonably necessary;
· practitioner contact information – for the duration of the relationship and normally up to 12 months afterwards, except where required as part of another record that must be retained for longer; and
· marketing information – until you unsubscribe or otherwise object to the marketing, subject to retaining limited information where necessary to record your preference.
HMRC requires companies to retain certain accounting records for six years from the end of the relevant financial year, with longer retention required in some circumstances.
We may retain information for longer where reasonably necessary to comply with a legal obligation or to establish, exercise or defend a legal claim.
13. How we protect personal information
We take reasonable organisational and technical measures to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.
Business information may be stored electronically, in cloud-based services, on computers and mobile devices and, where necessary, in paper records.
Access is limited to people who reasonably require the information for legitimate business purposes.
14. International transfers
Some of the technology providers used by Omnia may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we expect appropriate safeguards to be used where required by UK data protection law.
15. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights relating to your personal information, including the right to:
· ask for access to your personal information;
· ask us to correct inaccurate or incomplete information;
· ask us to erase your personal information in certain circumstances;
· ask us to restrict processing in certain circumstances;
· object to certain processing;
· withdraw consent where processing is based on consent; and
· request transfer of certain information where the right to data portability applies.
